We at Evitec Solutions are committed to protecting the privacy and security of your personal data.
This Privacy Notice describes how Evitec Solutions process personal data we collect about you in relation to our online recruitment system, as well as what rights you have under the applicable laws, particularly under the EU's General Data Protection Regulation (GDPR).
Personal data
We process your personal data to facilitate your application for career opportunities and to record your expressed interest in joining Evitec Solutions. Each Evitec Solutions entity is the controller for the personal data of its own job applicants.
The personal data collected includes: first and last name, email address, and phone number. The collected data may include also information relating to your suitability for the open position, such as information on work experience, qualification data, and information relating to education, results of personal and aptitude assessment, or other suitability assessment data (those candidates that are, on the basis of the first interview, suitable for the position, may be required to participate to a personal and aptitude assessment). The data may also contain other information obtained from you, such as job application and possible appendices of the application, other information accumulated during the recruitment process, such as notes made by the interviewers, communications between you and us, and to the extent permitted by applicable law, drug test certificate or data included in it in order to establish your performance and ability to work, or your personal credit information in order to establish your reliability.
Cookies
Evitec Solutions uses cookies on its website. These are small data files that are transferred to your computer when you contact a website. We use cookies to process and analyse information related to the use of the website. The information collected by cookies is used to monitor the use of the website, improve usability, and develop the website to better meet the needs of the users.

Purpose
We process personal data for the following purposes: to identify, evaluate and select candidates for current or future positions at Evitec Solutions. We may use your data for purposes relating to recruitment and organizational planning, including for example to set up and conduct interviews and tests, evaluate and assess the results thereof and as is otherwise reasonably necessary in the recruitment processes.
Storage period
We store your personal data for as long as necessary for the related purpose and, thereafter, for no longer than is required or permitted by law or necessary for internal reporting and reconciliation purposes. The actual storage period depends on the type of personal data, the purposes and the applicable law and therefore varies per use.
We store your personal data as follows:
candidate application data: data you have submitted in our applicant tracking system is stored by system default for 24 months,
candidate evaluation data (e.g. interview reports): data related to our evaluation of your application is stored as long as necessary and legally allowed for the related purpose, and
candidate assessment data (e.g. online tests): data related to our assessment of your application is stored by default in our assessment system for 12 months from test completion.
Legitimate grounds for processing
We process personal data when it is needed for carrying out our recruitment process, in consideration of entering into an employment contract with you. Additionally, we process personal data to pursue the legitimate interest of running our business, particularly managing our relationship with you, enabling you to maintain and improve your job application, communicating with you and our related business partners, and protecting our organization. We also process personal data to comply with legal obligations. We may process personal data with your explicit consent for a specific purpose, such as evaluating and assessing your application for other current or future vacancies within Evitec Solutions, as specified by you, or when obtaining references from a third party identified by you. You have the right to withdraw your consent at any time.
Rights of Users:
Right to access. You can contact us to confirm if your personal data is being processed. If we do, we will inform them about the categories of data processed, the purposes for processing, the recipients of the data, and the storage period or criteria used to determine it.
Right to withdraw consent. If our processing relies on your consent, it can be withdrawn at any time by contacting us.
Right to rectification. You are entitled to have any inaccurate or incomplete personal data stored about them rectified or completed.
Right to object. Where we process personal data because we believe it’s our legitimate interest to run our business and manage our recruitment process, you have the right to object at any time to that processing. We shall then no longer process your personal data unless we demonstrate compelling legitimate grounds for our processing that override your interests, rights and freedoms or for legal claims.
Right to restriction of processing. You may restrict our processing of your personal data as foreseen by applicable data protection law, e.g. to allow our verification of accuracy of personal data or to prevent us from erasing personal data when personal data is no longer necessary for the purposes but still required for candidate´s legal claims.
Right to data portability. You are entitled to receive your personal data from us in a structured, commonly used, and machine-readable format and have the right to transmit that data to a third party independently, provided our processing is based on your consent.
Right to erasure. You have the right to have personal data we process about you erased from our systems, e.g. if the personal data is no longer necessary for the related purposes or if we have unlawfully processed the personal data.

Security
We implement and maintain reasonable and appropriate technical and organizational security measures to protect the personal data we process, from unauthorized access, alteration, disclosure, loss or destruction.
We audit our security measures regularly and have third-party experts review them against international standards. These audits help us improve our security.
If a security breach occurs that risks your data privacy, we will inform affected parties and authorities as soon as possible, in accordance with data protection laws.
Recipients
We may disclose and transfer your personal data within the Evitec Group to recruiters and recruiting managers.
We also use third-party service providers (such as IT service providers and external recruiting partners) who may process your data on our behalf. Such service providers are only allowed to process your personal data to the extent necessary for them to provide the service.
In order to protect your privacy, we require that all our service providers keep the personal data we provide them confidential and adequately secure. They are also required to comply with the applicable data protection laws, our privacy and information security policies, and the relevant service and other agreements.
Evitec Solutions may also make your personal data available to other third parties, such as law enforcement agencies and other public bodies, when required to do so by mandatory legislation, in response to legitimate legal processes or in relation to corporate reorganization (e.g. merger, acquisition or asset sale).
Location and transfer
We and our service providers have operations in several locations in the world. Consequently, we and our service providers may transfer personal data to, or access it from, countries outside your country of domicile.
We implement measures to guarantee that your personal data is afforded a sufficient level of protection in the countries where it is processed.
Some of our service providers to whom we transfer personal data are located or may store personal data outside the EU or the European Economic Area (EEA), and therefore to the extent necessary, personal data may be transferred to countries outside the EU or the EEA. In such cases, we provide for appropriate safeguards by EU Commission’s standard contractual clauses or by any other appropriate safeguard as foreseen under the applicable data protection law.

Lodging a complaint
In case you feel our processing of your personal data is inconsistent with applicable data protection law, a complaint may be lodged with the local supervisory authority for data protection.

This Privacy Notice is updated June 30, 2025. We may update this Privacy Notice at any time if required in order to reflect changes in our data processing practices, in personal data protection laws or otherwise.
